Regular maintenance keeps commercial air conditioning working efficiently, improves indoor comfort and helps prevent unexpected breakdowns. Use this checklist throughout the year to identify problems early.

Monthly Checks

☐ Clean or replace accessible air filters
☐ Check that vents are clear and unobstructed
☐ Look for water leaks or unusual condensation
☐ Listen for unusual noises or vibrations
☐ Confirm that each unit is cooling correctly
☐ Record and report any error codes


Every Three to Six Months

☐ Inspect and clean indoor coils
☐ Remove dirt and debris from outdoor condenser units
☐ Check condensate drains for blockages
☐ Inspect pipework and insulation for damage
☐ Test thermostats and temperature controls
☐ Check for weak airflow or unpleasant smells


Professional Engineer Checks

☐ Check refrigerant levels and investigate possible leaks
☐ Inspect electrical connections and components
☐ Test fans, motors, capacitors and compressors
☐ Check system pressures and operating temperatures
☐ Clean coils and drainage systems thoroughly
☐ Test safety controls and overall performance
☐ Provide a service report and recommend any repairs


When to Call an Engineer

Contact a qualified air conditioning engineer if the system stops cooling, leaks water, trips the electrics, produces unusual smells or noises, or displays recurring error codes.


Businesses should keep a maintenance record for every system and arrange professional servicing at least once or twice a year. Systems used heavily throughout the year may require more frequent attention. A planned maintenance schedule can improve efficiency, extend equipment life and reduce the risk of costly emergency repairs.
